Seeking a self directed and highly organized individual to oversee the clerical needs of a commercial real estate agent.
This position requires excellent communication skills and the ability to manage multiple tasks simultaneously.
Responsibilities include but are not limited to:
Lead Generation and List Creation:
Creating lists of specific properties, gathering ownership information, reaching out to owners via mail or email.
Scheduling:
Showings, tours, meetings, within a google calendar.
Gathering and Summarizing Data:
Gathering all available information on a property including town records, maps, traffic counts, demographics, etc.
Analyzing and gathering available properties for buyer/ tenant representation clients to consider.
CRM Management:
Adding notes, contact creation and creating follow up tasks on Hubspot Project Management:
Assist with special projects and initiatives as assigned.
For example, summarizing short articles for a monthly newsletter.
Documentation:
Prepare and distribute contracts, addendums, NDA's.
Transaction Coordination:
Coordinate with lenders, title companies, inspectors, appraisers, and other service providers to ensure a seamless transaction process.
Scheduling appointments and monitoring deadlines.
Qualifications:
Experience:
Previous experience in real estate transaction coordination, real estate administration, or a related field is preferred.
Tech-Savvy:
Must be proficient in Google Drive (Google docs, Google Sheet, etc.
) as well as Microsoft Office Suite (Word, Excel, Outlook).
Experience using Hubspot and Digisign or Docusign is preferred.
License:
An active real estate license is not required for this position but is preferred.
Communication Skills:
Excellent verbal and written communication skills.
Ability to effectively communicate with clients, agents, lenders, and other parties involved in the transaction process.
Organization:
Exceptional organizational skills with the ability to manage multiple tasks and priorities simultaneously.
Attention to detail is critical.
Problem-Solving:
Strong problem-solving skills with the ability to proactively identify issues and find solutions in a fast-paced environment.
Customer Service:
Dedication to providing exceptional customer service to clients and ensuring a positive experience throughout the transaction process.
Ideally candidate would want to eventually transition into a full time position.
Benefits:
$20-$24 per hour

Ideally this will grow to a full time position after 1 year.
Hybrid work schedule - 2 days per week in office minimum and 1 day per week at home.
